Job Description
We are searching for an Appointment Coordinator -- To handle incoming calls and requests from patients and physicians for referrals and scheduling appointments for multiple patient care teams throughout the Texas Children's Hospital System, utilizing a computerized registration and scheduling system and multiple software applications. To identify a unique patient identification number (medical record number) to track a patient's care throughout TCH IDS and facilitate the billing of hospital charges, to register patients and obtain correct demographic and insurance information (this includes parent/guardian information). To educate and communicate to patient families or responsible parties arrival times, how to cancel and reschedule an appointment, and all other necessary information to streamline the process for patient arrival. The intake and appointment coordinator represents the organization in contacts with internal and external customers by obtaining and giving information, scheduling, interpreting and interceding as directed.

Job Duties & Responsibilities
- Responsible for accurately and completely recording and communicating information from customer
- Demonstrates excellence in oral communication and proper phone etiquette as the first contact point for referring physicians. Answers calls and appropriately screens and route the call to the designated coordinator.
- Obtains complete and detailed information from callers and completes the Consult Sheet for referrals (demographics, insurance, referral details, some prenatal history).
- Promptly and accurately register patients in the TCH systems. Also calls and registers patients for admission, procedure, or delivery.
- Requests records from referring physicians; obtains the necessary authorizations per HIPAA guidelines. Forwards referral records to the coordinator and accurately documents this on the Consult Checklist.
- Enters patient information in the Databases in a timely manner. Conducts maintenance and regular updates to databases, obtains queries from database.
- Assists the coordinators in conducting predetermination of coverage and preauthorization of diagnostic and treatment procedures as directed.
- Schedules ultrasound, MRI, echocardiography, and other evaluation/diagnostic procedures as directed.
- Coordinates/schedules consults with the multidisciplinary team specialists as needed.
- Informs coordinators or back-up personnel when unable to pick up center calls and responsible for securing coverage of calls while away from the desk or office.
- Faxes reports, physician consult notes or referral letters and clinical coordinators’ letters to referring and primary physicians as directed.
- Assists patients with obtaining and or arranging appropriate nearby housing including the Ronald McDonald House.
- Demonstrates a mastery of multiple computer software applications.
- Handles incoming calls for appointments from patients, internal staff and physicians in a courteous, professional, and timely manner.
- Assists the clinical coordinators in scheduling patients for testing or procedures.
- Participates in office/department team activities and observes established internal policies.

Requirements
- H.S. Diploma or GED
- 2 years of experience with appointment scheduling and coordination or other related healthcare experience
